We are looking for a highly organized and reliable Administrative Support professional to join our team in Italy. This role is essential in ensuring the smooth day-to-day running of the office by providing comprehensive administrative assistance across multiple functions.

The ideal candidate will have at least 5 years of experience, strong multitasking abilities, and fluency in both Italian and English.

  • Provide general administrative support to the office and management team
  • Manage calendar scheduling, meeting coordination, and travel arrangements
  • Handle correspondence (emails, phone calls, letters) in Italian and English
  • Maintain and organize documents, records, and filing systems (physical and digital)
  • Support office operations including supplies, vendors, and facility coordination
  • Assist with invoicing, expense tracking, and basic financial administration
  • Prepare reports, presentations, and internal communications
  • Coordinate with internal departments and external stakeholders
  • Ensure compliance with company policies and local administrative procedures
  • Minimum 5 years of experience in administrative or office support roles
  • Fluency in Italian and English (written and spoken)
  • Strong organizational and time-management skills
  • Excellent attention to detail and problem-solving abilities
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong interpersonal and communication skills
  • High level of discretion and professionalism

Preferred Qualifications (Nice to Have)

  • Experience in an international or multicultural environment
  • Knowledge of basic accounting and administrative processes
  • Familiarity with office management tools and systems
