Arizona State University (ASU) in Washington, D.C., is seeking a part-time Event Management Assistant to serve as the onsite liaison during evening and weekend events at the ASU Barrett & O’Connor Washington Center. Located in the Golden Triangle neighborhood of downtown Washington, D.C., the center hosts a range of academic and public convenings in event spaces throughout the facility, from 20–100 guests.

The Event Management Assistant is an in-person position supporting meetings and events which may take place during the evenings and weekends as needed. Specific workdays and hours will vary weekly based on scheduled events. Evening hours are typically 4:30 p.m. – 9:00 p.m. Weekend hours are typically 8:00 a.m. – 2:00 p.m.

The Event Management Assistant serves as the primary facility liaison during meetings and events taking place in the evenings and on weekends, ensuring that events runs smoothly and that the facility is prepared for the next day’s activities. Duties include setting up furniture and equipment, greeting and escorting vendors (including caterers), addressing event host and guest needs, assisting with event cleanup and load-out, and resetting spaces for upcoming functions.

The work schedule will vary based on scheduled facility use and will include evenings and occasional weekends, with the opportunity to work up to 19 hours per week.

Students participating in Hospitality & Tourism, Event Management and similar programs are encouraged to apply. This is an excellent opportunity for students interested in gaining hands-on experience in event management and facility operations

Essential Duties:

  • Provide onsite support during meetings and events, ensuring everything runs smoothly.

  • Collaborate with team members to ensure all aspects of the event are covered.

  • Handle any last-minute changes or issues that arise during the event.

  • Direct onsite vendors, including overseeing load in, set-up, event production, and load out, responding to requests and ensuring the building remains in appropriate condition.

  • Reset furniture in preparation for the next scheduled meeting or event.

  • Provide post-event reports to the operations team.

  • Other related duties as assigned

Desired Qualifications:

  • Must reside in the Washington, D.C. metro area.

  • Flexibility to work Monday-Friday evenings, weekends, or during non-traditional hours, as required for event schedules.

  • Must have reliable transportation to the ASU Washington Center.

  • Experience in planning, organization and coordination of events.

  • Experience in establishing and maintaining effective working relationships.

  • Demonstrate a ‘Can do‘ attitude, willing to assist and support with any task.

  • Experience in work that requires attention to detail.

  • Experience taking the initiative to complete work which hasn’t been assigned.

  • Evidence of effective written and verbal communication and interpersonal skills, ability to interact professionally with event hosts and guests.

  • Experience in identifying quick, creative solutions to immediate problems that may arise during the planning and execution of events.

  • Ability to manage time effectively, especially in high-pressure situations leading up to and during events.

  • Ability to perform effectively under pressure.

  • Experience in Microsoft Office Suite (i.e., Outlook, Word, Excel, PowerPoint).

  • Prior experience in customer service.

  • Demonstrated reliability.

Working Environment:

  • The office is located within the ASU building in Washington, D.C.

  • The position operates during evening hours Monday to Friday, with occasional weekend shifts.

  • Activities are performed in an environmentally controlled office setting.

  • Activities require standing for varying lengths of time and walking throughout the building to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 30-50 pounds, required to lift and carry event materials and equipment including tables, chairs and equipment for events.

  • Activities also include periods of sitting, keyboarding and manipulating a computer mouse.

ASU’s Washington, D.C. Center serves as a hub for the university’s academic, research, and engagement activities in the nation’s capital. The D.C. Operations team supports the Center’s daily operations, programs, and events, providing administrative, facilities, and logistical support to ensure a welcoming and professional environment for the ASU community and guests.
