The Laney Graduate School is seeking an Associate of Academic Programs to support two Ph.D. programs and contribute to the success of graduate students, faculty, and program leadership. This role is ideal for a highly organized, detail-oriented professional who enjoys building relationships, coordinating complex activities, and providing exceptional service in a dynamic academic environment. The successful candidate will manage a variety of program operations, student support initiatives, events, communications, and administrative processes while serving as a key resource for students, faculty, and university partners.
KEY RESPONSIBILITIES:
- Leads and supports two Ph.D. programs, including developing tools, resources, and timelines to ensure program success.
- Develops and administers surveys and assessments to identify program needs, evaluate outcomes, and recommend improvements.
- Advises the Graduate Division of Biological and Biomedical Sciences (GDBBS) leadership on issues related to program success and future initiatives.
- Establish schedules, oversee arrangements, order meals, and provide logistics support for events, conferences, meetings, seminars, and recruiting.
- Gather and disseminate information regarding policies and procedures.
- Respond to inquiries regarding graduate school policies and procedures and make referrals when appropriate.
- Support student progress, track milestones, ensure registration, track applicants during recruitment.
- Track milestones and applicant status through a database.
- Monitor program budgets and coordinate expenditures.
- Serve as liaison between programs, students, faculty, registrar, and leadership to resolve registration, admissions, and other program-related questions or concerns.
- May serve as a brand ambassador at recruitment events and conferences.
- May be required to present at internal meetings.
- Performs other related duties as required.
ADDITIONAL JOB DETAILS:
- The job also requires strong communication skills, both written and oral.
- The position offers a flexible workday schedule with up to 3 days per week of telecommuting after approval.
- Some overtime is required during peak times, such as the start of the fall semester and recruiting season.
- Strong customer service skills to support and interact with students and faculty.
- A high level of accuracy, attention to detail, initiative, and the ability to multi-task, as well as the ability to pivot and find workarounds when challenges occur.
MINIMUM QUALIFICATIONS:
- A bachelor's degree and two years of experience working with academic programs or a related field, OR an equivalent combination of education, training, and experience.
DESIRED QUALIFICATIONS:
- Experience with Microsoft Office and Teams, SurveyMonkey, Canva, Doodle, and existing Emory systems is a plus.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
