Role Overview

An Internal Coordinator (IC) owns the day-to-day running of field data collection for a single region. Each IC leads a team of Field Officers (FOs) who carry recording rigs(hardware) into partner businesses, set them up correctly, and capture high-quality task recordings.

The IC is the operational nerve center of the region: planning the day's pipeline, keeping FOs productive in the field, solving problems live, ensuring recording quality and diversity rules are met, tracking inventory (rigs and SD cards) in and out, and reporting hours planned vs. achieved with clear loss reasons at end of day.

This role is mainly about live coordination, field problem-solving, quality control, and disciplined reporting.

Who Are Field Officers (FOs)?

  • People working on the ground, out in the field
  • They collect rigs from inventory, travel to assigned businesses, and record short videos of real commercial/household tasks
  • They are responsible for correct setup, on-site recording, and returning rigs and SD cards
  • They have clear daily and overall hour targets to complete

Key Responsibilities

1. Start-of-Day Planning
  • Check the day's pipeline of confirmed businesses for each FO
  • Keep enough backup businesses on hand so no FO is left idle if a task falls through
  • Confirm rig, SD card, and inventory availability before FOs leave
  • Plan for exigencies (business cancellations, FO absence, device shortfall, travel issues)

2. Live Monitoring & 2-Hourly Updates

  • Track who has started, who is on-site, who is recording, and who is falling behind
  • Take structured updates from every FO at least every 2 hours to catch and solve issues early
  • Follow up immediately with FOs who are idle, delayed, or stuck

3. Target & Productivity Management

  • Ensure FOs meet their daily and overall hour targets
  • Redirect FOs to backup businesses when a planned task drops, to protect the day's hours
  • Push and motivate the team to close the day on plan

4. Quality, Rules & Diversity Adherence

  • Ensure FOs follow recording rules: correct task type, valid duration, correct rig/camera setup
  • Verify setup quality before recording begins — e.g. confirm camera alignment via screenshots so the rig is capturing correctly before the task runs
  • Ensure recordings respect diversity caps (per-operator and per-environment limits) so hours actually count as usable
  • Work with the Quality team to understand where recordings are failing, and retrain FOs to record better-quality, usable data

5. Issue Resolution

  • Act as the first point of contact for FOs in the field
  • Help resolve: app/upload issues, task confusion, "business saying no," "task not legit enough," and device/rig issues (coordinate with Field Ops / Inventory / Hardware teams as needed)
  • Escalate only when an issue can't be solved at your level

6. Inventory & Asset Tracking

  • Track every rig and SD card issued to each FO — out and back
  • Reconcile returns the same day; follow up proactively on anything overdue or missing
  • Flag damage, loss, or undocumented movement without delay

7. Communication & Coordination

  • Manage large WhatsApp groups of FOs for the region
  • Share daily instructions, reminders, and updates
  • Maintain discipline and professionalism in groups

8. End-of-Day Reporting

  • Report hours planned vs. achieved for the region
  • Detail loss reasons clearly and by category — e.g. hardware/rig breakdown, business declined, task not legitimate, FO/travel issues, quality rejections
  • Share a clean daily status summary with the Field Ops Manager

Skills & Requirements

  • Basic computer knowledge
  • Comfortable using WhatsApp and Google Sheets
  • Ability to manage and communicate with many people at once
  • Strong coordination, multitasking, and real-time problem-solving skills
  • Comfort reading simple operational data (hours, targets, loss reasons)
