Position Summary

As the Program Administrator for University-wide Doctoral Affairs and other high-profile academic initiatives, this role serves as the operational backbone and creative engine for high-priority, university-wide initiatives housed within the Office of the Vice Provost for Academic Program Review & Doctoral Affairs. Champion the PhD student experience at NYU by orchestrating high-profile university-wide events with PhD students and PhD alumni, building vibrant community connections, and managing the day-to-day administration of the Doctoral Affairs portfolio. Elevate the internal and external visibility of NYU Doctoral Affairs by producing polished visualizations and presentations with modern designs, managing digital platforms, updating and tracking internal data platforms, drafting compelling communications, and drafting reports and briefs. Gather and use data to help shape university practices, prioritizing impact and efficiency with academic programming while managing budgets to ensure prudent use of University resources. Help shape the future of doctoral education at NYU.

Qualifications

Required Education:Bachelor's DegreePreferred Education:Master's Degree in a related fieldRequired Experience:2+ years Experience administering academic and/or research programs and events.Preferred Experience:2+ years Prior professional experience working within higher education, particularly in graduate student affairs, academic program administration, or a Provost’s office context. Demonstrated experience with modern digital media and design tools, such as Adobe Creative Suite (InDesign, Illustrator, Photoshop), advanced Canva, or email marketing platforms (e.g., Mailchimp). Experience using work-management and collaboration platforms (e.g., Asana, Airtable, Notion, Trello) to coordinate multi-step events and workflows.Required Skills, Knowledge and Abilities:Exceptional written and verbal communication skills, with a proven ability to craft compelling copy, draft polished professional and interdepartmental communications, and convey complex academic concepts clearly. Strong visual design sense and technical proficiency in creating modern presentations, data visualizations, and promotional assets using tools such as PowerPoint, Canva, Adobe Creative Suite, and content management systems (CMS) for web maintenance. Meticulous orientation to detail, superior organizational abilities, and demonstrated success managing end-to-end event logistics and program execution. Strong interpersonal skills with an outgoing, service-oriented mindset, capable of building collaborative relationships across diverse academic constituencies, including students, faculty, staff, and alumni. Proficiency with standard office productivity platforms and fundamental data management, including spreadsheet manipulation, basic quantitative analysis, database maintenance and AI/Generative AI Tools. Demonstrated financial aptitude for budget tracking and resource management. Ability to prioritize projects and meet deadlines while juggling multiple simultaneous projects and deadlines and seeing initiatives through from concept to execution.Preferred Skills, Knowledge and Abilities:Understanding of the unique academic journey, needs, and culture surrounding PhD students and doctoral education. Advanced proficiency with data visualization tools (e.g., Tableau, Power BI) and survey platforms (e.g., Qualtrics). Familiarity with web content management systems (CMS) such as WordPress, Drupal, or similar university platforms.

Additional Information

In compliance with NYC's Pay Transparency Act, the annual base salary range for this position is USD $77,000 to USD $84,700. New York University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and organizational considerations when extending an offer. This pay range represents base pay only and excludes any additional items such as incentives, bonuses, clinical compensation, or other items.
