Job Summary

Provide administrative support - duties include maintaining calendars, scheduling meetings and events, arranging travel or handling incoming inquiries.  Create agendas, flyers, or promotional materials.  Update and maintain websites, databases and mailing lists.  Assist in preparing reports.

 

Duties and Responsibilities

  • Maintain calendars, schedule meetings, prepare agendas, collect and provide support materials, and record and distribute minutes.  Serve as the first point of contact for general IRB inquiries from investigators, research staff, faculty, students, and external collaborators.  Providing courteous, professional, and timely customer service.
  • Compose routine correspondence and draft non-routine correspondence.  Assist with dissemination of HRPP announcements, educational materials, and policy updates.  Proofread and edit various documents, reports, presentation materials, website updates and newsletters.
  • Proofread various documents, reports and presentation materials.
  • Collect data for use in reports, presentations and meetings.  Assist the HRPP Director with intake in the PERA system.  Assist with administrative processing of protocol submissions, modifications, continuing reviews, reports of new information, and study closures.  Verify PI status and CITI training.  Monitor administrative workflows and assist with tracking review timelines.  Support investigators by providing procedural guidance regarding submission requirements and available resources.
  • Assist with small event coordination, including room reservations, setups, resource needs, and catering.  Assist with onboarding activities for new IRB members and HRPP/IRB staff.  Assist with coordinating educational sessions, workshops, and committee training events.  Participate in departmental meetings and institutional committees as assigned.  Perform other duties as assigned to support HRPP and IRB operations.
  • Arrange travel, order supplies, maintain organizational files, make copies, distribute incoming and outgoing mail, and ensure proper functioning of office equipment.
  • Update and maintain mailing lists, databases and websites.

What We're Looking For:

  • High School Diploma/GED
  • Two or more years of experience in a clerical or administrative support role
  • Excellent customer servie, verbal, and written communication skills
  • Ability to handle frequent interruptioins, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Computer and related skills to include Word, Excel, PowerPoint, Outlook, Internet, etc
  • Typing, drafting, filing, data entry, proofreading and editing skills
  • Ability to identify routine problems and implement or recommend solutions
