The College of Science is seeking a highly organized and collaborative Graduate Program Coordinator to support graduate education initiatives and departmental operations in the Biology Department. This role is ideal for someone who enjoys working in a dynamic academic environment, building relationships with students, faculty, and staff, and helping programs run efficiently and effectively. This position will allow you to help support students with meaningful work.

 

What You'll Do

As the Graduate Program Coordinator, you will provide high-level administrative and program support while serving as a key resource for graduate students, faculty, and departmental leadership. Responsibilities include:

  • Coordinate graduate program activities, events, and communications.
  • Serve as a primary point of contact for students, faculty, and external partners, resolving complex inquiries with professionalism and discretion.
  • Prepare, edit, and distribute correspondence, reports, presentations, and promotional materials.
  • Conduct research and gather information to support departmental initiatives and decision-making.
  • Monitor program budgets, maintain records, and assist with financial and administrative processes.
  • Support special projects and program initiatives, often working independently and exercising sound judgment.
  • Provide guidance and functional oversight for administrative support activities and contribute to process improvements.

What We're Looking For

Education and Experience Required:

  • Requires a High School Degree or High School Equivalency (HSE)
  • Minimum of four (4) years of experience in an administrative support role

 

Skills Required:

  • Excellent written, verbal and interpersonal communication skills
  • Ability to:
    • handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
    • collaborate and communicate with individuals at all levels within and external to the university to support department needs
    • interpret policies and procedures to proactively resolve issues or improve processes
    • identify problems and implement or recommend solutions
    • lead others and provide direction and constructive feedback
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Strong organizational and time management skills and attention to detail
  • Drafting, proofreading and editing skills
