Job Summary

Senior Schedule Deputy | College of Science | West Lafayette, Indiana

 

Biological Sciences is currently hiring for the position of Schedule Deputy. Come join an innovative department focused on research, teaching, and improving the student experience. 

 

The Schedule Deputy for Biological Sciences is responsible for all course and exam scheduling, in addition to textbook selection management and override requests in registration workflow. The individual assigns teaching assistants to sections in Banner. The position requires significant communication with the Registrar’s office and Biological Science administration. Successful candidates will be individuals with excellent organizational, communication, and prioritization skills. This person is responsible for all scheduling-related functions on both the West Lafayette and Indianapolis campuses. This position reports to the assistant head for academic programs.  

 

Main responsibilities of the position 

  • Build the full Department schedule around large lecture assignments and when appropriate, assist with resolving schedule conflicts
  • Regularly monitor course enrollment and troubleshoot enrollment issues & modify course limits/space allocation as appropriate to request classroom changes, as needed
  • Update Dept. administration on enrollment progress, requesting specific input, as needed
  • Prepare Dept. teaching schedules for faculty and staff 
  • Resolve routine registration/course-related/classroom-related problems or questions
  • Assist with electronic workflow systems related to overrides and add/drop times 
  • Assist in enrollment of UTAs students for credit where appropriate 
  • Assign GTAs and UTAs to appropriate course sections in both Banner and Brightspace 
  • Aid faculty and staff in the resolution of student concerns, incorporating other University offices, as appropriate
  • Responsible for monitoring the timely submission of all BIOL grades
  • Provide final exam information to instructors once assignments have been made to provide extended exam time for courses with special needs
  • Schedule rooms for student make up exams when requested by the instructor
  • Collect textbook information from individual instructors and create spreadsheets in the textbook management system.  Serve as contact to the bookstores should any questions or problems arise

 

What We're Looking For

Education and Experience Required:

  • High School diploma or GED required
  • Four (4) years of administrative support experience required

 

Preferred:

  • BA or BS
  • Experience with data management, databases, and spreadsheets and university experience

 

Skills Required:

  • Excellent verbal and written communication skills
  • Strong organizational and time management skills and attention to detail
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc. 
  • Ability to:
    • collaborate with and communicate with individuals at all levels within and external to the university to support department needs
    • handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
    • interpret policies and procedures to proactively resolve issues or improve processes
    • identify problems and implement or recommend solutions
  • Drafting, proofreading and editing skills
