Job Description

This position is responsible for maintaining department records including faculty office hours, load reports, syllabi, textbook adoptions, low-enrolled class requests, travel requests and vouchers, independent study requests, and overload requests. The administrative assistant performs other activities as needed including budgetary activities (i.e. payroll, costing allocations, account maintenance, PMRs, etc.) preparing faculty travel requests, events, and vouchers; preparing faculty load reports and faculty course reassignments; and compiling reports that may be required by university administration or external agencies.
 

Responsibilities:

  • Maintains records related to the activities of the department.

  • Budgetary Processes such as payroll and budget transfers.

  • Screens calls and makes appointments for the Department Chair.

  • Handles correspondence and prepares reports and contracts.

  • Maintains office equipment and assists in acquiring supplies for dept. needs.

  • Maintains active files and assists in the processing of related program information.

  • Assists with correspondence and maintenance of hiring files.

  • Assists in the preparation of travel requests and vouchers.

  • Prepares workload reports.

  • Verifies schedules.

  • Performs other duties as assigned.

Required Education and Experience:

  • High school diploma or higher in related field.

  • Five (5) years of related experience.


Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Knowledge of accounting and budgeting for department.

  • Ability to multitask and work cooperatively with others.

  • Excellent written communication, analytical, interpersonal, and organizational skills.

  • Ability to work in a high stress environment.

  • Ability to work with sensitive information and maintain confidentiality.

  • Ability to work independently once given a project.
