Position Overview

Atomic is seeking an Office Manager for our Miami office. This person will be the heart of our in-office experience. They will bring a hospitality-first approach to everything from welcoming guests and supporting our General Partners to running board meeting prep, events, and team engagement.

What You’ll Do:

  • Own day-to-day office operations and handle all in-office needs as they come up.

  • Work closely with our General Partners (GPs), supporting their in-office needs and requests with discretion and care.

  • Prepare for onsite and board meetings, including room setup, materials, catering, and logistics.

  • Plan and help run internal and external events, from team gatherings to hosted gatherings for founders, investors, and partners.

  • Lead in-office engagement efforts that build community and make the office a place people want to be.

  • Coordinate onsite interviews and arrange travel for candidates and team members.

  • Manage the reception area and welcome visitors.

  • Act as the point of contact for the building complex. This includes registering guests, sending communications, and getting badges created for temporary visitors and new hires.

  • Supervise the maintenance of office equipment, including the kitchen.

  • Work with vendors to keep kitchen supplies, snacks, and beverages stocked.

  • Keep office areas neat and organized throughout the day.

  • Receive, sort, and scan mail and deliveries.

  • Manage conference room and hot desk schedules.

  • Assist with first-day office welcome and space planning for new hires.

  • Manage office lunch orders and company Uber perks.

  • Support office IT as needed.

  • Provide additional ad hoc support as needed.

What You Are:

  • Hospitality-first. You anticipate what people need and create a warm, polished experience for everyone who walks through the door.

  • Autonomous and proactive. You spot what needs to be done and take care of it without being asked.

  • A strong multitasker who can juggle competing priorities in a fast-paced environment and follow projects through to completion.

  • Trustworthy and discreet, with a proven ability to handle sensitive and confidential information.

  • 3+ years of administrative experience in a fast-paced office environment.

  • Excellent interpersonal, written, and verbal communication skills.

  • Strong organizational skills.

  • Working knowledge of Google Workspace, including Gmail, Google Calendar, Google Drive, and Google Docs.

Nice to Have:

  • Direct office management experience.

  • Familiarity with venture capital or startups, or a genuine interest in learning how a venture fund builds and operates companies.

We are focused on building a diverse and inclusive workforce. If you’re excited about this role, but do not meet 100% of the qualifications listed above, we encourage you to apply.
