THIS POSITION IS ON THE OXFORD COLLEGE OF EMORY UNIVERSITY CAMPUS, 36 MILES EAST OF ATLANTA.

 

KEY RESPONSIBILITIES:

  • Assists in directing the strategic planning, development, and implementation of programs.
  • Represents the organization at meetings, conferences and other events.
  • May develop and present speeches or presentations to generate or enhance awareness of program(s).
  • Provides technical support by evaluating established processes, conducting training, attending operational meetings and networking with affiliated groups.
  • Monitors progress toward achieving established objectives and deadlines.
  • Participates in planning, administering and monitoring program related budgets.
  • Conducts research, designs new initiatives, and collaborates with others to ensure program(s) remain viable.
  • May serve on, hold office in, or chair committees.
  • May write publishable articles and papers.
  • May supervise staff.
  • Oversees or assists in developing operational and statistical reports for management and regulatory agencies.
  • Ensures required records and documentation are maintained.
  • Performs related responsibilities as required.

Essential Functions:Assistant Director, Programs

1. Strategic Planning & Development – Provides strategic operations support and planning as a key liaison for the Office of Academic Affairs.

Key Responsibilities

  • Serves as a liaison for the Office of Academic Affairs between Arts Program faculty and the college to ensure consistency, clarity, and efficiency in operations.
  • Provides operational support to Academic Affairs leadership and serves as a resource for faculty and students.
  • Maintains regular communication with the Humanities Division to ensure alignment and shared divisional awareness.
  • Facilitates strategic longer-term planning for integrated arts agenda/events/programs.
  • Supports cross-program initiatives as needed, especially those that enhance visibility and collaboration within the arts programs at Oxford College.
  • Assists in developing operational and statistical reports. Ensures required records and documentation are maintained.
  • May develop and present speeches or presentations to generate or enhance awareness of programs.
  • Serves as the point of contact for physical space coordination, maintenance requests, and compliance (studios, music rooms, etc.).
  • Oversees technical support for curricular and co-curricular needs related to the Arts Programs.
  • Organizes and coordinate events.
  • Designs event artwork and promotional materials.
  • Manages scheduling and logistics for venues.
  • Organizes and facilitate regular Lyceum committee meetings.
  • Maintains the proposal portal.
  • Reviews proposals and participates review and approval of proposals.
  • May assist with other duties as assigned.

2. Program Administration & Financial Management 

Key Responsibilities

  • Partners in the management of program budgets in collaboration with Academic Affairs, the Humanities Division, and the Arts Programs.
  • Processes and track program expenses.
  • Runs monthly budget reports to monitor spending.
  • Participates in quarterly budget reviews.
  • Assists with budget requests.
  • Manages purchasing for programs and course needs.
  • Processes speaker and performer contracts.
  • Conducts consultations and research into new suppliers or additional efficiency in purchasing supplies/equipment.

3. Supervision 

Key Responsibilities

  • Supervises Program Coordinator for Curricular and Academic Events.
  • Conducts annual and mid-year evaluations.
  • May supervise assigned project staff, student workers and/or volunteers. May recruit, hire, and onboard student workers and maintain timesheets

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a field related to the program(s) and five years of program related experience, OR equivalent combination of experience, education, and training.

PREFERRED QUALIFICATIONS: 

  • Technical experience with sound and musical equipment.
  • Strong attention to detail, with exceptional organizational skills and the ability to manage multiple priorities simultaneously.
  • Demonstrated ability to work independently with strong self-direction and sound judgment.
  • Strong leadership abilities, including guiding initiatives and collaborating across teams with campus partners and stakeholders.
  • Proven capacity for forward planning, anticipating needs, and executing projects.
  • Effective troubleshooting skills with the ability to resolve issues efficiently and proactively.
  • Excellent written and verbal communication skills.
  • Demonstrated experience designing flyers, promotional materials, and digital communications using design tools such as Canva or similar platforms.
  • Must be computer-proficient and able to quickly learn new technologies.
  • Strong interpersonal and customer service skills.
  • Minimum of two years of experience supporting or working with academic programs in a higher education environment.
  • Ability to work nights and weekends. Nontraditional hours.

NOTE: Position tasks are generally required to be performed in-person at an Emory University location.  Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
