As a Boarding Officer at Waypoint Port Services you will be responsible for coordinating and executing vessel agency services to ensure safe, efficient, and cost-effective port calls, canal transits, cargo operations, bunker operations, and ancillary services.

* You will be working from our office located in Panama Pacifico.

Key Responsibilities
  • Coordinate and oversee vessel port calls, canal transits, cargo operations, bunkering activities, and related marine services.

  • Liaise with vessel masters, owners, operators, port authorities, service providers, and other stakeholders to ensure the smooth execution of operational activities.

  • Monitor vessel schedules, arrivals, departures, and operational progress, providing timely updates to all relevant parties.

  • Prepare, verify, and submit vessel pre-arrival, transit, and port call documentation in compliance with applicable regulatory requirements.

  • Board vessels at port or anchorage when required to support operations, facilitate services, and represent the company professionally.

  • Coordinate ancillary services including sludge disposal, garbage removal, freshwater supply, crew support, and other vessel requirements.

  • Arrange and coordinate ship repairs, technical attendance, and third-party service providers as required.

  • Monitor vessel operations to identify and mitigate potential delays, disruptions, and additional costs.

  • Maintain accurate records of vessel activities, operational events, incidents, and service delivery documentation.

  • Assist with vessel clearance procedures and coordination with local authorities to facilitate vessel movements.

  • Prepare Statements of Facts (SOF) and operational reports to support service delivery and customer requirements.

  • Ensure all contracted services are delivered to the highest quality standards and accurately captured for final accounting and reporting purposes.

  • Promote a strong safety culture through compliance with health, safety, and personal protective equipment requirements.

  • Contribute to continuous improvement initiatives that enhance operational efficiency and customer satisfaction.

Qualifications & Experience
  • Diploma, degree, or equivalent qualification in Maritime Studies, Shipping, Logistics, Business Administration, or a related discipline preferred.

  • Previous experience in ship agency operations, vessel boarding, port operations, shipping, logistics, or maritime services.

  • Experience coordinating vessel port calls, cargo operations, canal transits, bunkering, or marine support services is highly desirable.

  • Fluent in English and the local language, both written and spoken.

  • Valid driving license.

  • Clean police conduct or background record.

  • Proficient in the use of digital tools, mobile technology, and standard business software applications.

  • Knowledge of maritime regulations, port operations, and shipping industry practices is advantageous.
