JOB SUMMARY

We are seeking a Provider Support Assistant to perform administrative responsibilities in support of one or more physician(s) and/or advanced provider(s). This is a non-patient facing position. 

 

JOB DUTIES AND RESPONSIBILITIES

  • Calendar manager for the division and primary admin point of contact: Maintain calendars and process administrative requests for 29 attending physicians.  Update daily schedule changes on Qgenda. Escalate requests as needed.
  • Division administrative support for faculty recruitment and onboarding: Coordinate with recruiter providing faculty availability for interviews, reserve meeting rooms, coordinate dinner reservations and process payments. Assist new faculty by coordinating meeting scheduling, requesting badge access and completing other onboarding tasks. 
  • CME credit manager for division. Submit applications, track attendance for all division conferences (weekly), send out weekly email with conference speaking agendas and assist with distributing CME codes to participants. 
  • Expense report initiator. As the faculty delegate, appropriately create expense reports and attach receipts, monitor workflow progress to ensure compliance and track expenditures for future reporting.
  • Buy at Duke rep for division. Process purchases, perform goods receipts, clear P-Card expenses.
  • Primary clerical point of contact: answer office phone, process faxes, distribute mail, request website updates, submit IT tickets and office-related maintenance orders, order keys.

 

JOB ELIGIBILITY REQUIREMENTS

  • High school diploma or equivalent education required.
  • One-year experience of clerical or general office support required.
  • We are seeking someone with strong soft skills, office etiquette, attention to detail, project management, event coordination, and Outlook calendar management.  
  • Knowledge of Qgenda is preferred. 

 

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
