Purpose:
The Senior Administrative Human Resources Associate manages and performs a wide range of HR generalist functions within University Unions, with a primary focus on recruitment and onboarding for student and non-benefits eligible staff, student employment programs and development, and related HR business processes. This role supports managers and employees throughout the employment lifecycle while contributing to consistent, effective student employment practices across University Unions.
Responsibilities
- Recruitment and Onboarding Support - Assist managers with recruiting and onboarding student and non-benefits eligible employees by coordinating job postings, supporting efforts to promote and increase visibility of open positions, monitoring candidates throughout the hiring process, and supporting onboarding activities. Provide guidance to supervisors and employees throughout the hiring and onboarding process and help resolve routine issues that may delay or impact completion.
- Student Employment Programs and Development- Support the implementation and ongoing improvement of University Unions student employment processes, resources, and initiatives. Assist with efforts that promote student employee development, career readiness, engagement, and supervisor effectiveness. Develop and maintain resources that support a consistent student employment experience across University Unions. Participate in student development activities and model professional behavior and service excellence.
- HR Operations and Compliance- Manage and support HR processes for student and non-benefits eligible staff, including Form I-9 requirements, employee records, required training, reporting, and related HR transactions. Monitor outstanding actions, communicate requirements and deadlines to employees and supervisors, and escalate concerns as appropriate. Serve as the primary point of contact for departmental driver compliance, including required training and record maintenance.
- HR Partnerships and Departmental Support- Develop and maintain effective working relationships with University Unions staff, Human Resources partners, University Human Resources, and other campus departments. Serve as a resource to managers and employees on routine HR processes and procedures. Represent University Unions at university-wide HR meetings, activities, and other collaborative efforts as appropriate.
- Office Coverage, Special Projects, and Process Improvement- Serve as backup to the Associate Director of Human Resources to support consistent office coverage and continuity of HR operations. Take appropriate action within the scope of the position and assist with HR projects and departmental initiatives as assigned. Identify and recommend process improvements that support efficiency, consistency, accuracy, and service in high-volume HR operations.
- Other Duties- Serve as a contributing member of University Unions staff by participating in meetings, collaborating with colleagues, supporting special events and committees, and performing other duties as assigned.
Required Qualifications
High School Diploma or GED is required, along with at least one year of experience at the Administrative Assistant or Administrative Associate level, including support of human resources or related administrative functions.
Candidates should demonstrate strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced, high-volume environment. Excellent written and verbal communication skills are essential, along with the ability to work effectively with diverse individuals, handle sensitive information with discretion, solve problems, manage conflict, build strong working relationships, and provide a high level of customer service.
Preferred Qualifications
A bachelor’s degree in Human Resources, Business Administration, or a related field is preferred. Experience in higher education, student affairs, student services, or a similar environment is also desirable.
Preferred qualifications include proficiency with HR systems and tools such as Workday, Excel, and DocuSign; experience supporting recruiting, onboarding, employee services, or student employment programs; and familiarity with university policies and procedures.
PHR or SHRM certification is preferred and strongly encouraged.
Salary
$52,000+ depending on experience
