Casework produces AI Act conformity files, Fundamental Rights Impact Assessments, and risk documentation for AI hiring tools, helping mid-market companies meet obligations under the EU AI Act, Colorado AI Act, Illinois HB 3773, and NYC LL 144. The team runs on a fixed, productized engagement model — a four-week production cycle per client, from intake through handoff.
We're looking for an Executive Assistant to support the founder and help keep a small, fast-moving specialist firm running smoothly. This is a high-trust role for someone who is organized, discreet, and comfortable managing shifting priorities in a lean team.
What you'll do
- Manage the founder's calendar, scheduling, and inbox triage, prioritizing competing demands
- Coordinate client intake calls, discovery sessions, and handoff meetings across engagement cycles
- Prepare, proofread, and format documents, correspondence, and internal materials
- Track action items and deadlines across active engagements to keep production cycles on schedule
- Handle travel arrangements, expense reports, and other logistics as needed
- Serve as a point of contact for clients and partners, representing the firm professionally
What we're looking for
- 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar support role
- Excellent written and verbal communication skills
- Strong organizational skills and comfort managing multiple deadlines simultaneously
- Proficiency with standard scheduling, email, and document tools
- Sound judgment and discretion when handling confidential or sensitive information
- Ability to work independently and anticipate needs in a small-team environment
Nice to have
- Experience supporting a founder or executive at an early-stage or small professional services firm
- Familiarity with client-facing coordination in a consulting, legal, or compliance-adjacent business
